The Ohio Historical Records Advisory Board

Minutes of the Ohio Historical Records Advisory Board Meeting
28 September 1994
Cincinnati Historical Society

Cincinnati

Board Members present: Deputy Coordinator George Parkinson, George Bain, Roland Baumann, Jonathan Dembo, Barbara Floyd, Michael Lucas, James Oda, Carol Tomer

Board members absent: Coordinator Gary Ness, Alice Cornell

Staff members present: William Myers, Elizabeth Nelson

George Parkinson called the meeting to order at 2:02 pm. Parkinson welcomed recently appointed board members Michael Lucas, James Oda, and Carol Tomer, and Dennis Harrison, who was reappointed to the board. Parkinson then reviewed the agenda.

Roland Baumann moved to adopt the minutes from the June meeting. Michael Lucas seconded the motion, and the board voted unanimously to pass the motion.

George Parkinson shared with the board news of Gerald George's intention to step down from his position of Executive Director of NHPRC, NHPRC's refunding, the revised guidelines for state board activities, and the Council of State Historical Records Advisory board's plans to gather data from each of the states and publish an assessment report.

The board briefly discussed the Ohio 2003 Draft Plan as a group before breaking into subcommittees to discuss each goal separately. Each subcommittee will submit an implementation plan for its assigned goal to the Deputy Coordinator by Friday 14 October 1994 so that a new draft can be ready for distribution in November.

When the board reassembled, William Myers updated the board on the status of the electronic records proposal that Raimund Goerler of the Ohio State University submitted to the NHPRC in June.

The board briefly discussed Janet Kalven's grant proposal to process photographs in the Grail National Archives, which she is submitting against the October deadline. Barbara Floyd mentioned that the Toledo Museum of Art also intends to submit a proposal against the October deadline. Board members agreed that encouraging grant proposals should be included on a future agenda.

The board made plans to meet on Friday 18 November at 10:00 am at the Ohio Historical Society in Columbus to complete the final draft of the Ohio 2003 Draft Plan.

Barbara Floyd volunteered to attend the annual meeting of the Ohio Genealogical Society in April 1995.

Board members suggested that the annual report include an estimate of the number of people to whom the draft plan was distributed. George Bain volunteered to post the board's annual report on the Society of Ohio Archivists' listserv. Bain also agreed to be the board member responsible for publicizing board activities, such as the recent appointments, on the listserv through 1995. Staff members will send an announcement of the recent appointments to NAGARA's Clearinghouse and issue a press release through the Ohio Historical Society's Communications Department.

Elizabeth Nelson summarized the board's expenditures during the grant period. Between December 1993 and September 1994, the board spent $4073.27 of the $9467.00 budgeted for the first year.

George Bain moved that the board resolve to urge state historical records advisory boards to become more involved in advocacy. Jonathan Dembo seconded the motion, and the board voted unanimously to approve it. Bain agreed to draft the resolution, which the Deputy Coordinator will convey to the next State Historical Coordinators meeting.

George Bain moved to extend the board's thanks to Jonathan Dembo for making meeting arrangements. Carol Tomer seconded the motion, and the board voted unanimously to approve it.

Roland Baumann moved to adjourn at 5:04 pm. Michael Lucas second the motion, and the board adjourned.

Respectfully submitted by,

George Parkinson
OHRAB Deputy Coordinator
